The short answer
When a social plan no longer works, a short explanation is usually enough. Não vou conseguir (I won’t be able to) is a flexible way to say that you cannot make it, followed by the plan or time.
Explain briefly that something changed
A clear message helps the other person understand whether you are canceling or hoping to meet another day. Add a brief apology if you want to acknowledge the inconvenience.
Desculpa, não vou conseguir ir hoje.
Sorry, I won’t be able to go today.
Meu horário mudou de última hora.
My schedule changed at the last minute.
Podemos deixar para outro dia?
Can we leave it for another day?
Suggest a specific alternative
A concrete alternative makes it easier to keep the plan alive. Offer a day or time, then ask whether it works for the other person. Remarcar is to reschedule; combinar is to arrange or agree on a plan.
Use the day and time together when you can. If the schedule is flexible, offer two options instead of sending an open-ended question.
Você pode na quinta-feira à noite?
Can you do Thursday evening?
Que tal sábado de manhã?
How about Saturday morning?
Pode ser depois do almoço?
Would after lunch work?
Confirm the new plan
After you agree on a new time, repeat the important detail so both people have the same plan. Mention the place if it changed too.

Então ficou combinado para sábado às dez.
So we’re set for Saturday at ten.
A gente se encontra na entrada do parque.
We’ll meet at the park entrance.
Se mudar alguma coisa, me avisa.
If anything changes, let me know.
Put it into practice
Write a three-part message: explain the change, offer a new time, and confirm the place once you both agree.
